Publisher Privacy Policy

1. Where the publisher runs

Special Services Publisher and Social run within each participating organization’s WordPress website. The organization controls its site, staff accounts, content, media, and social account connections. Special Services LLC develops and supports the software. This policy explains the plugins’ processing; the organization’s own website policy may also apply to its visitors and staff.

2. Information used for publishing

When authorized staff use these plugins, the WordPress installation may store campaign text, images and videos, destination links, selected channels and schedules, approval choices and staff identifiers, connection-check results, delivery claims, provider post identifiers, status, and error details. Social account credentials for its scheduled channels are supplied through private server configuration. For a connected TikTok account, Publisher stores the account authorization tokens and account identifier needed for API access, plus posting choices, a TikTok publish ID, processing status, and error details. TikTok may provide the connected account’s nickname and available posting settings so the owner can verify the destination and make current choices.

3. How information is used and shared

The plugins use this information to show campaigns for review, maintain the calendar, honor approvals, send approved content, and report outcomes. Social sends approved text, links, or featured images to the selected connected service, such as Facebook, Instagram, Bluesky, Telegram, Pinterest, X, or Mastodon. Publisher gives TikTok the URL of the selected photo or video, and sends post text and settings for Direct Post, only after the owner expressly approves that action. For video draft transfer, TikTok delivers the video to the creator’s inbox for the creator to finish editing and posting. Those services process information under their own policies. WordPress hosting may also process information needed to operate the organization’s site.

Special Services LLC does not use a customer’s connected TikTok account to post its own promotional content. The current TikTok integration does not fetch a list of the account’s public videos or request follower statistics.

4. Storage and security

Social channel credentials and the TikTok client secret belong in private server configuration. On the current WordPress integration, TikTok access and refresh tokens are stored in an encrypted provider vault rather than public pages or post metadata. Post content, schedules, approvals, and delivery evidence remain in the participating WordPress installation. Access to its administration is controlled by that site’s WordPress permissions. No internet-connected system can be guaranteed completely secure.

5. Retention, disconnection, and requests

The organization’s WordPress administrator controls its content and media. Campaign and delivery records may remain with posts for troubleshooting and audit history. The account owner can revoke a social service’s access at that service or remove its credentials from the WordPress server. A TikTok account owner can revoke the app’s access in TikTok. Revocation stops future authorized API calls but does not by itself remove records already stored on the WordPress site or content already published on a social service. To request removal of a local connection or publishing records, contact the organization’s site administrator or Special Services LLC at bryson@specialservicesllc.us. We will coordinate a response with the site owner and explain any records that must be retained.
